CQuential

CQuential – the warehouse management system with a difference

Specialised hardware is required for bar code scanning:  this includes a durable tablet for use by fork lift drivers.

If your company is serious about streamlining its warehouse operations, then take a couple of minutes to find out more about CQuential, software developed in South Africa to provide warehouse management and bar coding systems which fully integrate with SYSPRO.

The CQuential solution covers all aspects of warehouse operations and management, described in more detail below. It is able to manage virtually all categories of inventory including finished goods, raw materials, maintenance spares, consumables and consignment stock.

Another attractive feature about CQuential is that its pricing format is based on a monthly usage charge (Software as a service – SaaS) and the software is not run on your premises but from a central location. This means that no large upfront software and server hardware costs are incurred, which makes it more affordable, especially for smaller companies.

Understanding CQuential’s functionality

The scope of CQuential encompasses:

Batch, serial and lot numbers

Where any of these fields need to be used, barcode labels can be generated for identification purposes. Furthermore, the system allows the user to decide at what stage to use the numbers: for instance, numbers could be recorded by scanning at the time of processing receipts or at the time of picking.  From then on the numbers will be included in all subsequent documentation.

Goods receiving

The system caters for receiving goods against purchase orders, production jobs, inter warehouse transfers and the like. It allows you to scan each product being received, providing 100% accurate identification.

Put away

There are various rules that can be set up for put away. The system can be pre-programmed to identify where and how products should be stored, for example:

Heavy items should not be on high racks

Certain products should not be stored in proximity to each other

Storing multiple products on one pallet, which can be identified by the pallet ID.

Parameters can be set up to make provision to implement and control such requirements.

Put away efficiency can be improved by giving the operator the correct sequence and route to follow in the warehouse, saving time and minimising errors.

Sales order load planning

CQuential can refine SYSPRO’s planning capabilities and allow you to plan picking and deliveries, to include such parameters as:
Delivery day and time
Weight
Volume
Vehicle size
Delivery in full only.

Picking

This module has a number of features. These include:

  • Where a ‘pick face’ bin is established, the system can ensure that there is sufficient quantity for day to day picking, allowing bulk products to be stored elsewhere.

  • Initiating picking according to the priority of the order and availability of stock, and notifying the picker when to start picking.

  • Picking per sales order or for combined sales orders, depending on requirements.

  • Optimisation of the picker’s route, either on foot or by forklift, to cut down on the distance travelled.  If a bulk quantity is required, the picker can be directed to the bulk storage area rather than the pick face.

  • Multiple products can be picked on to one pallet whose contents can be identified from the pallet ID.

  • Verification that the product being picked is the correct one since product identification will be made via the scanner and can be checked against the scanned bin number.

During the picking operation, if the shelf quantity is less than the system quantity on hand, the picker can request an investigation – another method of improving inventory accuracy.

The start and end time of each pick is recorded by the system to provide operator efficiency statistics

Vehicle loading

The picked products can be placed in a loading bay where another operator can check that the correct items and quantities have been picked for that particular delivery. Loads can be scanned on to the vehicle if this additional control is required.

Further functions available from the system include:

Specifying the sequence in which orders should be loaded on to the vehicle to assist with unloading

Giving instructions on where to place products that cannot be stored together

Generation of the SYSPRO delivery note and invoice for each delivery without having to go into SYSPRO

Generation of a delivery schedule for the driver, in the right sequence and containing the right detail (pallet IDs, for example).

Issuing products

A further warehouse function is issuing product to be used in production, for maintenance or as a consumable. Products can be issued against a requisition, specific job or works order or, in the case of a consumable, to a general ledger expense account.

Returns

If there are products to be returned at the end of a delivery round, the system will be able to handle this and, if necessary, generate a credit note.

CQuential is also able to manage ad hoc returns where a more rigorous review and authorisation procedure is required.

Moving products within the warehouse

The system caters for movements between locations in the warehouse on either a planned or ad hoc basis.

When stock is running low in a pick face bin, the system can recommend its replenishment from a bulk location.

General movements within the warehouse from one bin to another, or between warehouses can also be processed.

Stock takes

In conjunction with SYSPRO’s stock take system, CQuential caters for stock to be counted by individual bar code or by pallet, and the quantities recorded in the warehouse system for verification, after which the correct quantities will be updated back into SYSPRO.

Cycle counting is also catered for.

Server hardware and internet link

CQuential software is hosted and run by CQuential at a central site so you do not need extra capacity on your server or to buy an additional server. However, you do need a good quality communication link into the internet as that is how you will access and run the system.

Scanning & related hardware

You will need to buy the specialised hardware required for bar code scanning to allow operators to receive instructions and record information.  Apart from hand held scanners, this hardware could include a durable tablet for use by fork lift drivers.

One or more normal PCs are needed to run the administrative side of the system.

In summary, the scope of what you have to provide and manage is much reduced, as the server and data management is all taken care of as part of the monthly charge.

Purchasing and implementing CQuential

First things first – feasibility and cost benefit analysis

The first step in assessing whether CQuential will be justified in your business is to have a CQuential consultant assess your needs, determine which parts of the system are required and identify likely cost savings or other benefits that will result from implementing the system.

The resulting proposal should allow you to clearly assess what returns you can expect and whether the investment will be worthwhile.

CQuential’s pricing policy

As mentioned, there is no upfront software purchase. The monthly charge is calculated based on which components of CQuential are being used and the scale and volume of processing, so the final figure can vary considerably.

Implementation costs

The services required for the implementation project are charged for at an hourly rate working from the previously approved implementation budget.
